Job Description
The role is responsible for performing a variety of technical and administrative tasks to support the virtual technical training programs and manage the internal community platforms of the Technical Practice Group. This role is also responsible for maintaining learning management systems including but not limited to setup, implementation, monitoring of webinar series, and timely uploads of invitations and recordings.
Perform various administrative, data collection, data entry, and report writing tasks
Assist subject matter experts and program directors in updating, maintaining, and organizing documents and other technical information on the business line’s various SharePoint libraries and websites
Design, maintain, and update business line-specific marketing materials
Assist in publicizing program information and recruiting instructors and students to the programs
Assist in scheduling, assigning, coordinating, and managing programs, content, and scheduled live discussions in AECOM University
Troubleshoot user access issues in various tool and platforms
Support in managing the business line-specific nomination, application, and approval procedures
Host webinars led by technical practice leaders or their designates when requested
Prepare and distribute communication updates to participants and stakeholders
Assist participants and/or supervisors in establishing an action plan for approved participants who have fallen behind on training sessions
Coordinate preparation for upcoming Discussion sessions, including confirming & reminding instructors, as well as helping compile, format, and finalize presentations for each Discussion
Download, convert, and post Discussion recordings and final PowerPoint slides to the course resource library and to AECOM University
Generate attendance reports for live Discussion sessions, update completions in AECOM University as needed
Track assignments submitted or any student-submitted questions for the respective Discussion sessions (if applicable)
Generate, update, track, and post progress reports monthly for program directors for status completions, course completions, learning hours, and user completions.
Support the review, revisions, and re-recording of on-demand lessons.
Document and track approved budget against expensed time for the business-line specific programs. As needed, help transfer expenses to approved project numbers
Support program directors and subject matter experts in accreditation through IACET and in the development and coordination of new programs and webinar series
Assist in creating training materials using different training modalities and provide input for blended approaches that fits the need
Assist in reviewing and analyzing responses for the annual student feedback survey
Create and update user guides on technical training platforms
Train appropriate internal staff on hosting webinars for Virtual Instructor Led Training Sessions
Perform other responsibilities associated with this position as may be appropriate
Escalate and analyze identified issues and concerns to the Team Lead for timely resolution.
Maintain the SOP/DTP of current processes and incorporate documentation updates as required.
Perform simple but varied tasks in compliance with service level agreement, process, policies, and procedures.
Assess identified issues and collate documentation to assist in investigating and in resolving common and recurring issues.
Support selected simple process improvement initiatives to streamline processes.
Qualifications
Bachelor’s degree in any course or equivalent combination of experience and education
At least three (3) years of relevant experience in community management, training and development, and administration of Learning Management System
Intermediate proficiency in MS Office 365, SharePoint, Google Analytics, and Camtasia or similar platforms
Experience hosting webinars on WebEx and Microsoft Teams Meetings platforms
