Job Description

  • Develop, implement, and maintain effective document control procedures and standards.

  • Create and manage document control systems, utilizing electronic document management systems (EDMS) as required.

  • Review and control document versions, ensuring accuracy, completeness, and compliance with company policies and industry standards.

  • Implementing and managing document control procedures and systems, ideally within the construction or engineering industry.

  • Manage all documents within ACONEX, including uploads, reviews, approvals, and distribution.

  • Configure and maintain ACONEX modules and workflows to optimize document control processes.

  • Utilize ACONEX reporting tools to generate document control reports and track key metrics.

  • Train and support project teams on using ACONEX for document management tasks.

  • Implement document retention and archiving policies, ensuring proper storage and retrieval of historical documents.

  • Track and record all document revisions and approvals, maintaining a clear audit trail.

  • Conduct regular document audits to identify and address any discrepancies or non-compliance issues.

  • Support project teams with document-related needs and inquiries.

  • Collaborate with various departments, including engineering, quality control, and legal, to ensure document consistency and alignment with company objectives.

  • Stay up to date on industry best practices in document control and quality management.

Qualifications

Bachelor's degree in business administration, engineering, information technology, or a related field (preferred).

  • Minimum 5-6 years of experience in a document control or records management role.

  • Proven experience in implementing and managing document control procedures and systems.

  • Strong proficiency in Microsoft Office Suite, particularly Word and Excel.

  • Working knowledge of electronic document management systems (EDMS) preferred.

  • Excellent organizational skills and attention to detail.

  • Strong analytical and problem-solving skills.

  • Effective communication and interpersonal skills.

  • Ability to work independently and as part of a team.

  • Time management and prioritization skills.

  • In-depth knowledge and expertise in ACONEX, including its modules, workflows, and reporting features.
